HOA and community association management

What the work includes

An association manager supports the board and handles the administrative, financial and operational work of a homeowners association or community association. Typical duties include budget preparation, reserve planning, monthly financial reports, vendor oversight, rule enforcement, homeowner communication, board meeting support and coordination of annual disclosures. The manager works for the board, not the other way around.

How fees usually work

HOA management is usually priced per door or as a flat monthly fee rather than a percentage of assessments. The fee may or may not include attendance at evening board meetings, after-hours emergency calls, reserve study coordination, violation inspections and project management. Ask what is included and what is billed hourly or as an extra project fee.

What to ask before hiring

Ask how board meetings are handled, who takes minutes, how violations are documented, how reserve studies are updated, how vendor contracts are bid and reviewed, and what happens after hours. Ask for a sample monthly financial packet and a copy of the management agreement. Confirm the transition process for records, funds and open work orders.

Common questions about hoa and community association managers

What does an HOA management company do?+

It handles the day-to-day administration of the association: budgets, financial reports, reserve planning, vendor oversight, rule enforcement, homeowner communication, board meeting support and annual disclosures. The board retains decision-making authority.

How is HOA management priced?+

Pricing is usually per door or a flat monthly fee. Some firms charge extra for evening meetings, after-hours calls, reserve studies, violation inspections or project management. Ask for a written scope and fee schedule.

How do I switch HOA managers?+

Review the current agreement for notice and termination terms, confirm how records and funds are transferred, and set a transition date. Ask the new manager for a written onboarding plan covering owner records, vendor contracts, bank accounts and open violations.
